Overview

 

We're looking for a Client Services Coordinator who thinks independently, takes ownership, and doesn't need hand-holding.

You'll be the operational backbone of our Client Services Team: managing data workflows, supporting strategic retreats, helping with communications and onboarding, and keeping systems running smoothly.

This isn't a role where you'll get step-by-step instructions for everything. You'll need to understand the objective, figure out the approach, and flag issues before they become fires. 

We have a lot of this role mapped out in Clickup tasks, but our business evolves throughout the year and we need someone who can handle a certain amount of change, complete work at times without a full roadmap, and most importantly, communicate really well under pressure.

This role is NOT a fit if you:

  • Need detailed instructions for every task
  • Wait to be told what to do next
  • See problems but don't speak up
  • Struggle when processes aren't perfectly documented

  • Take a high-level objective and figure out the execution yourself

What You'll Do

Client Data & Reporting (~40%)

  • Manage monthly data update cycles across 20+ client accounts
  • Review data entry, update Looker (data viz) dashboards and presentations, coordinate follow-ups
  • Track and chase responses from team members and clients
  • Maintain accuracy in spreadsheets and reporting tools

Client Services Support (~30%)

  • Coordinate retreat logistics: prep materials, Zoom whiteboards, post-retreat deliverables
  • Support client onboarding from signed proposal through first 90 days
  • Log client communications in HubSpot
  • Schedule and track client birthday gifts

Operations & Administration (~30%)

  • Manage calendar audits and Zoom link hygiene
  • Organize and move Loom recordings to appropriate workspaces
  • Run weekly system checks (Looker, Fireflies, ClickUp)
  • Post reports to Slack (Clockify hours, etc.)
  • Handle email campaign scheduling and approvals

Requirements

Must Have:

  • Strong critical thinking and problem-solving skills (you can figure things out)
  • Proactive communication (you surface issues, ask clarifying questions, keep people informed)
  • Reliability and follow-through (when you say it's done, it's done correctly)
  • Comfort with ambiguity (not everything will be spelled out)
  • Fast, stable internet connection (required for video calls and screen sharing)
  • Professional presence on video (we run regular virtual retreats and team meetings)
  • Fluent English (written and verbal)
  • Experience with modern SaaS tools

Our Tech Stack (familiarity with some preferred, willingness to learn all required):

  • ClickUp (project/task management)
  • Slack (team communication)
  • Google Workspace (Docs, Sheets, Drive)
  • Looker (dashboards/reporting, connected to our spreadsheets)
  • HubSpot (CRM)
  • Zoom, Loom, Figma, Fireflies.ai, Ongoody, Clockify

Nice to Have:

  • Experience in client services, account management, or operations
  • Background working with professional services firms
  • Experience in a fast-paced small business environment

Work Setup

📍 Location: Remote (Latin America preferred for timezone overlap with US Eastern/Central)

⏰ Hours: Full-time, 40 hours/week with core hours overlapping US business hours

💵 Compensation: $1,000–$1,250 USD/month depending on experience
