Client Services Associate

⛰️ (Denver-based, Hybrid Role)

Join a team that works smart and builds with intention.

We’re Velocity Work, and we’re on a mission to help law firm owners build thriving firms and lives they love. Our company is known for game-changing support, high integrity, and precision in everything we do.

Overview

Join our Client Services team to deliver a world-class experience for law firm owners investing in strategic growth. The team strives to know every client inside and out – and we need you to match that intensity.

This is a high-stakes, client-facing role where you'll be in the room during multi-day strategic planning retreats, supporting our lead facilitator in real-time while managing every operational detail before, during, and after.

This isn't a desk job. It's on-your-feet work that demands you know where everything is, anticipate needs, and execute flawlessly under pressure.

If you squint you’ll see a lot of inspiration from customer-first standards held by Four Seasons, Ritz Carlton, or Michelin Star Restaurants.

The Reality of the Role

You'll be supporting in-person strategic planning retreats – full-day and multi-day sessions where clients are making critical decisions about their businesses. During these sessions:

  • You're in the room, adjusting financial projections and datasheets, adjusting presentations on the fly, and troubleshooting data issues in real-time
  • You need to locate any client document, metric, or historical decision within minutes – no fumbling, no delays
  • You're reading the room, anticipating what the lead facilitator needs before she asks, and ensuring the client experience is seamless
  • You're managing logistics, technology, materials, and follow-through while staying invisible to the client unless called upon

Between retreats, you're maintaining the operational backbone that makes this level of service possible: calendars, communications, data tracking, scheduling, and process documentation.

Key Responsibilities 🧠

Retreat Support & Facilitation Assistance:

  • Be present (in-person in Denver) for quarterly and annual strategic planning retreats
  • Support the lead facilitator with real-time notes and datasheet updates, presentation adjustments, and data retrieval
  • Manage all retreat logistics: materials, technology setup, client accommodations, meal coordination
  • Anticipate needs and solve problems before they become visible to the client
  • Execute immediate follow-up tasks while details are fresh

Client Operations & Coordination:

  • Audit and maintain membership calendars monthly to ensure accuracy
  • Draft and send client communications: event details, reminders, accommodations, follow-ups
  • Coordinate scheduling for group calls, coaching sessions, and live events (invites, Zoom links, confirmations)
  • Support setup and logistics for all quarterly and monthly client touchpoints
  • Maintain client data trackers and ensure information is current and accessible

Process & Systems:

  • Learn every corner of our client management systems – Google Drive, Sheets, Looker, communication platforms
  • Collaborate with the team to refine and document processes
  • Identify inefficiencies and propose improvements

  • Experience in client-facing or coordination roles
  • Familiarity with digital tools (Google Workspace, Zoom, ClickUp, Google Looker) - or a general aptitude for learning new modern technologies
  • Background in professional services, consulting, top tier concierge or events is a plus

Attitude & Mindset:

  • You take ownership – if something matters to the client experience, it matters to you
  • You don't wait to be told what needs doing
  • You believe excellence is in the details
  • You're energized (not drained) by high-intensity, high-impact work
